Refund policy

**1. Our General Policy**

At AAA HVAC Supply, customer trust is our priority. Because refrigerants are classified as hazardous materials (Class 2) and often fall under EPA handling regulations, our return policy is more limited than for standard consumer goods.

**2. Returns – When We CAN Accept**

We accept returns only under these conditions:
- The cylinder is completely unopened, factory-sealed, and undamaged
- The return request is made within 14 days of delivery
- The product was incorrectly shipped by us (wrong refrigerant type or quantity)

In these cases, we will:
- Issue a full refund (excluding original shipping costs), or
- Send you the correct product at no additional charge

**3. Returns – When We CANNOT Accept**

We cannot accept returns or issue refunds for:
- Any cylinder that has been opened, used, or partially emptied
- Cylinders with broken seals, missing labels, or signs of tampering
- Products damaged by customer mishandling or improper storage
- Refrigerants purchased for a specific one-time job and no longer needed

No exceptions will be made for opened cylinders. This is for your safety, our team's safety, and legal compliance.

**4. Damaged or Leaking Cylinder Upon Delivery**

If you receive a cylinder that is damaged, dented, or leaking:
1. Do not open or attempt to use it
2. Take photos of the cylinder and packaging immediately
3. Contact us within 48 hours of delivery

We will arrange a replacement or full refund at no cost to you.

**5. Wrong Product Shipped**

If you receive the wrong refrigerant:
- Keep the cylinder unopened
- Contact us with your order number and photo of the cylinder label
- We will cover return shipping and send the correct product right away

**6. How to Request a Return**

To start a return (only if you meet the conditions above):

Subject line: Return Request – [Your Order Number]

Please include:
- Order number
- Product name and cylinder size
- Reason for return
- Photos (if damage or wrong product)

**7. Refunds**

Once we receive and inspect the returned unopened cylinder:
- Refunds are processed within 5 business days
- Refund issued to your original payment method
- Original shipping fees are non-refundable

**8. Bulk / Wholesale Orders**

For orders of 10+ cylinders, a separate return agreement may be required. Please contact us before placing large wholesale orders.
